Administrative Assistant - Fund Development Office

 

The Adrian Dominican Sisters are seeking a highly organized and detail oriented Administrative Assistant for their Fund Development and Philanthropy Office. This is a full time position located on the Motherhouse campus in Adrian, MI.

What you will be doing:  This position is responsible for providing high level administrative and executive support to the Director of Development who manages the fund raising/development portfolios and philanthropy efforts of the Adrian Dominican Sisters Congregation.  This position involves donor database (CRM) management, comprehensive data analysis and reporting, administrative and clerical assistance, grant writing, event/travel planning for Sisters and donors, and special project assistance. You will work with a small, organized and dedicated team of administrative professionals who manage all planning, data and correspondence surrounding donor relations, stewardship, fundraising/development and the philanthropy efforts of the Adrian Dominican Sisters.

Pay: Nonexempt. Hourly based on experience. 

Hours:  Full time. 8am 4:30pm Monday Friday. Some over time required during busy periods of July and December.  

In this role you will:

  1. Collaborate with the Finance Office, Office of Communications, Office Support Services and other Campus offices as necessary to facilitate fund development and philanthropy initiatives, gifts and activities.
  2. Manage, maintain, and troubleshoot the donor database/spreadsheets/CRM to ensure data integrity and accurate reporting.
  3. Prepare, create and analyze fund development and gift related reports, maximizing use of data base and software tools for donor data analysis and creation of lists.
  4. Search for and prepare or write grants, including follow-up reporting and acknowledgement.
  5. Produce address lists for all mailings and correspondence.
  6. Collaborate with the database/software/CRM vendor to report issues and solve problems as needed.
  7. Coordinate travel arrangements and reimbursements for staff and volunteer Sisters.
  8. Communication and follow-up regarding gifts and fund development with donors, Adrian Dominican Sister volunteers, Associates, Alumni, diocese officials, parish officials, speakers, and congregational leadership.
  9. Coordinate and provide leadership for Mission Appeals for the Congregation.
  10. Provide backup to the Administrative Office Assistant.
  11. Oversee special projects as directed by the Director of Development.

 

Qualifications:

  • Associates degree required -  Bachelor Degree preferred
  • Minimum of 1-3 years of experience in office environment required - previous experience in grant writing, database management, or non-profit office preferred.
  • Excellent attention to detail and accuracy in writing, grammar, proofreading and data entry.
  • Possess above average oral and written communication skills.
  • Exceptional computer skills with proficiency in MS Office, databases, CRM's and spreadsheets. 
  • Knowledge of Donor Perfect software a plus.
  • Must be able to stoop, bend, reach, and carry approximately 35 pounds.
